Help Scout alternatives in 2026, priced for 3, 5 and 10 people

We priced the same three teams on Help Scout, Front, Freshdesk, Zendesk, Fin, Crisp, Chatwoot and Talvo, with AI volumes stated, and say plainly when staying on Help Scout is the right call.

Take five people answering customers and 1,000 AI-handled conversations a month. On Help Scout's Standard plan that comes to about $575 a month on annual billing. Move the same team to the tools people usually shortlist and the answers run from under $200 to well over $1,000. That spread is the reason this post exists: the best Help Scout alternatives depend on why you're leaving, and the sticker price on each pricing page tells you almost nothing about the bill you'll actually pay.

So the sums come first. We priced the same three teams (3, 5 and 10 people, with stated AI volumes) on eight tools, using each vendor's own pricing and help pages as listed on October 21, 2026. Talvo is one of the eight, and it's our product; it's labeled, and it gets the same scrutiny, including where it's the wrong choice for a Help Scout team. If you'd rather read a two-way comparison, see Talvo vs Help Scout, and for Help Scout's own plan grid, Help Scout pricing in 2026.

Why teams leave Help Scout, and why a lot of them shouldn't

Help Scout is good at what it's for: a small team answering customers by email, in an inbox that feels like a conversation instead of a ticket queue, with a Docs knowledge base attached. It holds SOC 2 Type 2, supports HIPAA with a signed BAA, and bundles AI writing tools (AI Assist on every paid plan, AI Drafts and Summarize on Plus and up) at no extra charge. The Free plan covers 5 users. If your complaint is "it costs money", staying is often right.

Help Scout
Where it's strong
  • A clean inbox that feels like email, and a simple Docs site
  • AI Assist, Drafts and Summarize included with paid plans
  • SOC 2 Type 2, and HIPAA with a signed BAA
  • The strictest AI billing definition: a customer asking for more help voids the charge
Watch out for
  • Per-user pricing: $25 (annual) or $30 (monthly) per user on Standard, and the 26th user forces Plus
  • Pro has a 10-user minimum, so 3 people pay for 10
  • Round robin starts on Plus; the AI agent is billed at $0.75 per resolution on top of seats
  • Phone is by integration only, and SMS on Standard is described inconsistently on its own page

People tend to leave for one of three reasons. The per-user bill climbs past ten people. The AI is a chat feature, not an email one: Help Scout's AI Answers documentation says it works in Beacon, its chat widget, and lists email as coming soon, so check before you price it for an email-first team. Or live chat is becoming the front door, and a tool designed around email is the wrong shape.

What Help Scout costs at 3, 5 and 10 people

Standard is $25 per user a month on annual billing, $30 monthly, up to 25 users. Plus is $45 or $54, up to 50 users. Pro is $75 or $90, with a minimum of 10 users, so three people on Pro pay 10 × $75 = $750 a month annually, or 10 × $90 = $900 monthly. Live chat (Beacon) and WhatsApp start on Standard; round robin, AI Drafts and Summarize start on Plus.

The AI add-on is sold as Envoy at $0.75 per resolution (the FAQ calls it AI Answers, the billing docs call it Scout). A resolution is one AI chat session resolved without a person: the customer gets an answer and doesn't escalate, search the knowledge base further, ask for more help, or press the "I still need help" button. It's charged once per session and billed in arrears. New accounts get three months of unlimited resolutions free; existing customers don't get a trial. You can set a monthly resolution cap, and when it's reached the AI is switched off in your Beacon until the next cycle.

On Standard, with 60% of AI-handled conversations counted as resolutions: 3 users and 300 AI conversations is 3 × $25 + 180 × $0.75 = $75 + $135 = $210; 5 users and 1,000 is $125 + 600 × $0.75 = $125 + $450 = $575; 10 users and 3,000 is $250 + 1,800 × $0.75 = $250 + $1,350 = $1,600. Monthly billing makes those $225, $600 and $1,650.

The same three teams on eight tools

Three teams: 3 people with 300 AI-handled conversations a month, 5 with 1,000, and 10 with 3,000. "AI-handled" means the AI replied at least once. Where a vendor bills per resolution or outcome (Help Scout, Zendesk, Fin, Front, Talvo) we assume 60% of AI-handled conversations become billable. That 60% is our assumption, not vendor data; Help Scout's own calculator cites a higher average, and at 100% the per-resolution AI charges grow by about two-thirds (Talvo's by less, because of its included resolutions). Where a vendor bills every AI conversation or session (Crisp, Freshdesk) we count all of them. Add-ons, voice, SMS and tax are excluded.

Talvo is priced at the lowest total among the plans with enough teammate seats, overage included, separately for each billing mode. Each cell shows annual billing first, then monthly.

A few of those rows need their arithmetic on the page.

Front. Professional is $65 per seat annual, $85 monthly (Starter is $25 or $35 but allows one channel type, so email plus chat means Professional). Its AI agent, Autopilot, bills by the highest tier reached per conversation: $0.05 triage, $0.39 handoff, $0.89 resolution. We counted resolutions only: 5 seats × $65 = $325, plus 600 × $0.89 = $534, is $859 annual; monthly it's $425 + $534 = $959. Handoff and triage conversations are charged on top, so read Front as a floor.

Freshdesk. The email-first Freshdesk plan has an email AI agent only; the chat AI agent needs Freshdesk Omni, so we priced Omni Growth at $29 per agent annual, $35 monthly. Freddy AI Agent bills sessions at $49 per 100 ($0.49 each), a session being a unique interaction window (24 hours on chat, 72 on email), with 500 free once per account. We count every AI-handled conversation as a session and ignore the one-time 500: 5 agents × $29 = $145, plus 1,000 × $0.49 = $490, is $635; monthly 5 × $35 = $175 plus $490 is $665.

Zendesk. Suite Team, because Support Team ($19 annual, $25 monthly) is email only. Seats are $55 or $69; 5 AI resolutions per agent per month are included; extra ones are $1.50 committed or $2.00 pay-as-you-go. For five agents: 600 − 25 = 575; 575 × $1.50 = $862.50, plus 5 × $55 = $275, is $1,137.50; at $2.00 it's $1,150 plus $345, or $1,495.

Fin. Intercom Essential is $29 per seat annual, $39 monthly, and Fin charges $0.99 per outcome. Five seats: $145 + 600 × $0.99 = $145 + $594 = $739; monthly $195 + $594 = $789. Fin's outcome definition is broader than most (a customer who goes quiet can count), so at 100% billable the five-person bill is $1,135 annual. Fin also runs on top of another help desk at $0.99 per outcome with a monthly minimum. Salesforce completed its acquisition of Fin on September 10, 2026; our post on Intercom, Fin and Salesforce covers what that means for customers.

Crisp. Flat by workspace: Mini $45 (4 seats, no add-on seats), Essentials $95 (10), Plus $295 (20, plus $10 per extra agent beyond 20). AI is credit-based; Crisp estimates $0.05 to $0.10 per Hugo conversation, with $5 (Mini) or $25 (Essentials) included. Three people with 300 AI conversations on Mini: $15 to $30 less $5, so $45 + $10 to $25 = $55 to $70. Crisp doesn't publish a yearly discount, so monthly and annual are the same. The ten-person row is Essentials at its seat limit.

Chatwoot. Cloud Startups is $19 per agent a month, and the page doesn't say whether that's monthly or annual billing. It includes 300 Captain AI credits, extra credits are $20 per 1,000, and the page doesn't say how many credits one AI reply or resolution uses. So the row is seats only and the AI cost is unknown.

Talvo. Plans are $49/$149/$299 monthly and $39/$119/$249 annual, with 5/15/25 teammates and 100/500/2,000 resolutions included, then $0.49 each. The 3-person team (180 resolutions) is cheapest on Starter: $49 + 80 × $0.49 = $88.20 monthly, $39 + $39.20 = $78.20 annual. The 5-person team (600) is cheapest on Growth: $149 + 100 × $0.49 = $198 monthly, $119 + $49 = $168 annual, beating Starter at $294 or $284. The 10-person team (1,800) is cheapest on Scale: $299 monthly, $249 annual, because Growth would be $149 + 1,300 × $0.49 = $786 or $756.

Estimates from each vendor's published list prices, checked October 21, 2026. Assumes the cheapest plan that includes live chat and an AI agent, and that every AI-resolved conversation is billable. Excludes taxes, promotions, add-ons (such as agent copilots) and per-use channels like SMS or WhatsApp. Talvo's annual price includes extra resolutions at the same $0.49, billed once a year.

The calculator takes teammates and billable AI resolutions a month, so 600 matches the middle column above. It shows month-to-month list prices, so compare it with the second figure in each cell: Help Scout $600, Fin on Intercom Essential $789, Zendesk $1,495 at the $2.00 pay-as-you-go rate, and Talvo $198. It doesn't include Front, Freshdesk or Chatwoot. Crisp bills every AI conversation, so at 600 its Crisp range reads lower than the table's, which uses all 1,000. Our free support cost calculator takes your own mix.

The table isn't a like-for-like feature comparison. Crisp Mini has no omnichannel inbox. Zendesk's resolution rate is unknown until you run traffic, and Fin's definition counts differently. Talvo's chat-first design is much narrower than Zendesk's. Re-check prices in the week you buy.

The alternatives, one at a time

Front

Front is the shared inbox for teams that live in email: comments inside threads, shared drafts, assignments, and CRM sync with Salesforce, HubSpot and Dynamics on Professional and up. That is where it beats every tool here except Help Scout itself. It's also per seat, with AI as a separate meter, and it has no free plan. Five Professional seats cost $325 a month annually, or $425 monthly, before any AI. Copilot, its agent assistant, is another $20 per seat on Starter and Professional. Front is for B2B and client-services teams whose work is email threads with account context. A fuller picture is in Front alternatives.

Freshdesk

Freshdesk is the budget ticketing step up. Growth is $19 per agent annual ($23 monthly) and covers ticketing, a shared inbox, a customer portal and knowledge base, automations and SAML SSO. Multiple SLA policies and round-robin assignment are Pro ($55 annual, $66 monthly). The catch is the session meter: Freddy counts a session per interaction window, not per resolution, at $0.49 each. There's no permanent free plan, but there is a six-month Free program for up to 2 agents, Freshdesk only. More in Freshdesk alternatives.

Zendesk

Zendesk is where you go when Help Scout's ceiling is the problem: skills-based routing, SLAs, a portal, forums, custom objects, voice, SOC 2 Type II, a HIPAA path, and the largest integration catalog on this list. It is also the most expensive row in the table at five people, and its entry price is deceptive, since the $19 Support Team plan has no live chat. The AI line is the part that surprises people: 5 included resolutions per agent, then $1.50 to $2.00 each, though only LLM-verified resolutions count. See Zendesk alternatives and Zendesk vs Intercom.

Fin, formerly Intercom

Choose Intercom (Fin) when the product is the Messenger: chat, in-app messages and a polished AI agent on a team with budget. Seats start at $29 annual; Essential has the Messenger, inbox and public help center, and Advanced ($85 annual) adds multiple inboxes, workflows and round robin. Its $0.99 outcome is cheaper than Zendesk's $1.50 to $2.00 but above Help Scout's $0.75 and Front's $0.89, and none are included. Tours, surveys and outbound campaigns are paid extras. For a team coming from Help Scout's email-first world, it will feel different.

Crisp

Crisp
Where it's strong
  • Flat per workspace, unlimited conversations, with some of the lowest bills in the table
  • Many channels (WhatsApp, Instagram, SMS, phone) from Essentials at $95
  • EU hosting
Watch out for
  • Hard seat steps: 4, 10, then 20
  • AI credits can run dry, and Hugo stops unless pay-as-you-go is on
  • No SOC 2 audit, and no published SSO or HIPAA

Crisp is the closest pricing-model analog to Talvo, so it's the one to compare us against directly. For email, Mini ($45) has a shared inbox; the knowledge base, workflows, analytics and omnichannel inbox start on Essentials. Its Free plan is 2 seats with no email channel. See Crisp alternatives and Help Scout vs Intercom for a neighboring comparison.

Chatwoot

Chatwoot is open source, with cloud plans from a free Hacker tier (2 agents, 500 conversations a month, live chat only, 30 days of retention) to Startups at $19 per agent with every channel and a help center, Business at $39 and Enterprise at $99 (SSO and audit logs). You can also self-host the Community Edition for free, which leaves out its AI, voice, SLA policies and SSO. The trade is operational: self-hosting needs real server skills, and its AI credit meter is the least clear on this list. It suits technical teams that want the cheapest per-agent multichannel inbox or want to own the stack. Chatwoot has announced SOC 2 Type II compliance; if you plan to self-host, ask what that covers.

Missive and Hiver

Missive and Hiver come up often for small teams that want a collaborative shared inbox without a full help desk, and Hiver works inside Gmail. Neither is in the cost table above. If your whole need is "shared email, cheaper", get current prices from both before settling.

Talvo

We make Talvo, so read this section with that in mind. Talvo is a chat-first customer messaging tool: a live chat widget, an AI agent that answers only from your published help articles and cites the one it used, a shared inbox with two-way email, and a hosted help center, priced per workspace instead of per seat.

A visitor asks how to reset their password and Talvo AI answers in the widget, citing the Resetting your password article.
Talvo's chat widget in our demo workspace: the AI answers from a help article and cites it.

The pricing logic is above in the table. For a team that mostly answers chats, a Talvo workspace where teammates up to the plan cap cost nothing extra is hard to beat, and the AI is $0.49 per resolution beyond an included amount, against $0.75 on Help Scout. Hand-offs aren't billed. There's no AI spending cap setting, either; the control you have is turning the AI off, which is something Help Scout's resolution cap does better.

The weak spot for a Help Scout team is email, and it's a real one. Talvo's email works by forwarding your support address into the shared inbox, and replies thread back to the conversation.

Talvo's email forwarding card: the workspace forwarding address and setup steps.
Email forwarding in Talvo's settings, shown with our demo workspace: forward your support address in and replies thread back into the same conversation.

Replies go out from Talvo's platform address with your workspace name as the display name. There's no custom sending domain, and replies don't appear in your Gmail Sent folder. Attachments work in both directions. You can't import past email history, only contacts. Collision detection ("Sam is replying…") and snoozing exist. Beyond email, Talvo has no WhatsApp, SMS, Instagram, Messenger or phone, no SOC 2 report, SAML SSO or HIPAA support, and its Free plan has 2 teammates against Help Scout's 5. It's in beta with no review-site ratings. Integrations are a REST API, webhooks and Slack. If your support is email-heavy and replies need to come from your own domain, stay on Help Scout or pick Front.

Talvo shared inbox: a customer asks how to rotate an API key, Talvo AI answers, and the AI brief summarizes the conversation.

Included AI against metered AI: which is cheaper for you

Some Help Scout alternatives sell "AI included, no per-resolution fees" as the point. That is a fair counter to the tools above. The trade is that the AI is paid for inside the seat price, so a team with little AI traffic subsidizes the rest. Metered AI costs more when you succeed and nothing when you don't.

The metered tools aren't the same, either. Help Scout lets you cap resolutions and turn the AI off for the cycle. Crisp lets you set a pay-as-you-go limit. Zendesk lets you allow overage or pause. Freshdesk's session packs expire with your payment cycle. Talvo has the included counts (100, 500 or 2,000) and a flat $0.49 beyond them. On the middle team's 600 resolutions, Help Scout's AI line is $450; Talvo's is $49 on top of the Growth plan's included 500. The seats are a separate question, which is why the plan prices matter more than the unit price.

Moving your help docs and mailbox

Every tool above can take a one-time export of your articles; what differs is how much history comes with you. For Talvo, the Help Scout part is the easy one, because Help Scout is on the importer list.

  1. Import your DocsPoint Talvo's importer at your public Help Scout Docs site, or crawl your website. Articles arrive as drafts, and the AI only answers from published ones (guide).
  2. Forward your support emailForward your support address into Talvo and replies thread back into the same conversation (how email works).
  3. Import contactsExport contacts as a CSV and upload them; people are matched by email.
  4. Run both in parallelKeep Help Scout until the renewal date, because past conversations don't move.
Talvo's Import contacts dialog: choose a CSV file or paste rows.

Before you cancel Help Scout
  • Export the conversation history you need to keep
  • Check whether you're on an annual term; Help Scout's Terms say you can't reduce scope mid-term, while its docs suggest you can, so confirm before assuming
  • List the Workflows, saved replies and tags you actually use, because none convert automatically
  • Note any Beacon messages and surveys you rely on
  • Decide which channels customers use today: email, chat, SMS, WhatsApp
  • Test the replacement with real conversations for a week

Frequently asked questions

What is cheaper than Help Scout?

In our same-team sums, only Crisp and Talvo came in lower than Help Scout Standard for all three team sizes (3, 5 and 10 people) with the AI volumes stated. Chatwoot's cloud seats are $19 per agent, though its AI cost couldn't be priced. Help Scout stayed cheaper than Front, Freshdesk Omni, Fin and Zendesk, and it may be the better fit for email-heavy teams regardless of price.

Is there a free Help Scout alternative?

Several have free plans. Freshchat Free allows up to 10 agents, Crisp Free has 2 seats, Chatwoot's Hacker tier has up to 2 agents and 500 conversations a month, Freshdesk has a 6-month Free program for 2 agents, and Talvo Free has 2 teammates and 25 AI resolutions a month during the beta. Help Scout's own Free plan covers 5 users but caps replies at 100 contacts a month.

Does Help Scout have live chat?

Yes, on Standard and up, through its Beacon widget. The Free plan has only a Beacon contact form. Help Scout's AI agent, sold as Envoy, works in Beacon chat; its documentation lists email as coming soon.

What is Help Scout Envoy?

Envoy is the pricing-page name for Help Scout's AI agent, which the FAQ calls AI Answers and the billing docs call Scout. It costs $0.75 per resolution on paid plans, and new accounts get three months of unlimited resolutions free.

How much does Help Scout AI cost per resolution, and what counts as one?

$0.75 per resolution, billed monthly in arrears. A resolution is an AI chat session resolved without a person: the customer gets an answer and doesn't escalate, search further, ask for more help or press the 'I still need help' button. It is charged once per session, and you can set a monthly cap.

Does Help Scout charge per user or per contact?

Per user on paid plans: Standard is $25 a month annually or $30 monthly, Plus is $45 or $54, and Pro is $75 or $90 with a 10-user minimum. The Free plan limits you to 100 contacts a month instead.

Can I migrate from Help Scout to another help desk?

Usually your knowledge base articles and contacts can move, but conversation history generally does not. Talvo, for example, imports public Help Scout Docs articles as drafts and contacts from a CSV, but it can't import past email history. Plan to run both systems until your Help Scout term ends.

Is Help Scout or Front better for a small team?

For a small email-first team on a budget, Help Scout usually costs less: Front Professional is $65 per seat annually against Help Scout Standard at $25. Front is stronger on email collaboration and CRM sync with Salesforce, HubSpot and Dynamics, and Starter, at $25, allows only one channel type.
