Only four well-known help desk vendors publish nonprofit terms on their own pages: Crisp takes 50% off, HubSpot 40%, Help Scout 10%, and Zendesk gives software and grants rather than a discount. The other big names either publish nothing or point you to a sales conversation.
If you're searching for help desk software for nonprofits, that short list is the thing most roundups bury under affiliate links. This post lays out the terms, prices a three-person team with the discounts applied, and lists the free plans that are enough to start. It also says something unusual for a vendor blog: Talvo has no nonprofit discount. It has a Free plan, and we'll explain what that covers and what it doesn't.
Help desk software for nonprofits: the programs that exist (checked October 21, 2026)
Terms change and some need a manual review, so confirm on the vendor's page before you apply.
| Vendor | What's published | Conditions that matter |
|---|---|---|
| Crisp | 50% off the Essentials and Plus plans. Not available on Mini | Manual review. Send your site URL, an organization description, a registration certificate and proof of nonprofit or tax-exempt status through live chat or support@crisp.chat. Can't be combined with other rebate programs unless Crisp confirms |
| HubSpot | 40% off list prices | New customers only. Net-new Professional or Enterprise products only; Starter products and some limit increases are excluded. Annual term contract required. Organization must be registered in North America, Australia or New Zealand. Apply through sales; can't be added to an existing subscription or combined with other discounts |
| Help Scout (Help Scout for Good) | 10% lifetime discount for nonprofits and B Corporations, combinable with the annual-payment discount. Up to 100% off by application for some missions | Short application. US organizations need proof of 501(c)(3) status. The deeper discount is for missions in human rights, environmental sustainability or underrepresentation in tech |
| Zendesk (Tech for Good) | Free software donations and grants, not a percentage discount. Zendesk says it works with over 110 nonprofits | Mission must fit the Zendesk Foundation's focus areas (community, crisis resilience, career pathways into tech). The 2026 Impact Award window closed on July 15, 2026; software donations are accepted on a rolling basis |
Two details save time. HubSpot's 40% skips Starter, so it never touches the cheap entry seats, and Professional comes with a required one-time onboarding fee of $1,500 (more on that below). And Zendesk publishes no standing nonprofit discount, so don't assume one exists. Confirm who is eligible, including whether existing Zendesk customers can apply, before you start.
The vendors with no published program
These are the vendors people ask about most. For each, the answer is that nothing is published, which is not the same as nothing being available.
| Vendor | What's published |
|---|---|
| Intercom (now Fin) | No published nonprofit discount. A staff member told a 501(c)(3) on its community forum in June 2025 to contact sales. Its published discount is the Early Stage startup program |
| Freshworks (Freshdesk) | No program page; the English nonprofit page returns a 404. One forum user reported 5%, which is anecdotal |
| Tidio | None on its FAQ or pricing page. An older blog post mentioned an NGO deal; it is stale |
| Zoho Desk | Says it has "special pricing" for nonprofits and educational institutions but publishes no percentage. Contact Zoho |
"Contact sales" isn't a program, but it isn't a no either. One Freshworks user reported being offered a small discount after a sales call. None of these vendors publishes terms, so ask.
What a three-person team pays
Take a nonprofit with three people answering supporters, volunteers or program participants. Use annual billing wherever a vendor offers it. The arithmetic follows each vendor's published price.
| Option | List price | After the program | Per year |
|---|---|---|---|
| Help Scout Standard, 3 users | 3 × $25 = $75 a month | 10% off: $67.50 a month | $810 |
| Crisp Essentials, up to 10 seats | $95 a month, no published yearly discount | 50% off: $47.50 a month | $570 |
| HubSpot Service Hub Professional, 3 seats | 3 × $90 = $270 a month | 40% off: $162 a month | $1,944, plus the $1,500 onboarding fee |
| Talvo Starter, up to 5 teammates | $39 a month billed annually ($49 billed monthly) | No discount | $468 |
| Talvo Free, 2 teammates (one short of three) | $0 | n/a | $0 |
Assumptions to check. HubSpot's page doesn't state a minimum seat count, so three seats is our assumption. It also doesn't say whether the discount applies to the onboarding fee, so the first year runs $1,944 + $1,500 = $3,444 at worst. Help Scout bills every user, including the account owner, so a team of three means three paid seats. Crisp prices per workspace with a 10-seat cap, which is why three people cost the same as ten.
One trap on the Crisp row: the discount doesn't apply to Mini. Mini is $45 a month for four seats, with no knowledge base. If all you need is chat and email, Mini at $45 undercuts the discounted Essentials at $47.50. The discount only pays off if you need what Essentials adds, such as the knowledge base, WhatsApp Business, Instagram and SMS channels.
For the full pricing of each vendor, see Help Scout pricing, Zendesk pricing, HubSpot Service Hub pricing and Crisp pricing.

Free plans that go further than you'd think
A discount only matters if you need a paid plan. Check these first. The limits are the part that bites.
| Free plan | Who it's for | The limit that bites |
|---|---|---|
| Help Scout Free | Up to 5 users, 1 inbox, 1 Docs site | 100 contacts a month; 10 articles; a "Sent with Help Scout" footer; replies stop at the contact limit until the next cycle or an upgrade |
| Crisp Free | 2 seats | 100 customer profiles; chat widget and contact form, but no email channel and no AI agent |
| Zoho Desk Free | 3 users | Email ticketing only; no public knowledge base (that starts on the Standard plan) |
| HubSpot Service Hub Free | Up to 2 users | Live chat and ticketing, but the AI agent, knowledge base and SLAs start on Professional |
| tawk.to | Unlimited agents and chats | The "Powered by tawk.to" badge stays unless you pay; paid add-ons are priced per website |
| Talvo Free | 2 teammates | 25 AI resolutions a month during the beta; 7 days of analytics history |
Tawk.to belongs in the list for a reason: it is free for everyone, with no limit on agents or chat volume according to its own FAQ, so it sidesteps the program question. The trade-offs are the badge and add-ons you may not need.
Talvo has no nonprofit discount
We could say "contact us" and let you wonder. The answer is no: Talvo has no nonprofit program and no discount. What it has is a Free plan, and the reasoning is simple enough to check.
The Free plan costs $0 and needs no card. It includes the live chat widget, two-way email, a shared inbox with internal notes, a knowledge base and hosted help center, a public feedback board with a roadmap and changelog, and 7 days of analytics. It allows 2 teammates and 25 AI resolutions a month during the beta; after the beta, the AI allowance on Free is normally zero. Conversations, contacts and messages are never deleted on any plan, so the history is still there if you upgrade later.
If you outgrow two people, Talvo's Starter plan is $49 a month ($39 on annual billing) for up to 5 teammates and 100 AI resolutions, then $0.49 for each AI resolution past that. Pricing is per workspace. We cover why that matters for a team of volunteers in per-seat vs flat pricing.
If a three-person team stays within the 100 included resolutions, the year costs 12 × $39 = $468 on annual billing, or 12 × $49 = $588 on monthly billing. Set that against the table above: $468 is below Crisp's discounted Essentials ($570) and Help Scout's discounted Standard ($810), and $588 is above Crisp's. The comparison isn't like-for-like, because Crisp Essentials includes WhatsApp, Instagram and SMS channels that Talvo doesn't have. The point is that a percentage discount doesn't settle the question by itself. What you need the tool to do does.

The volunteer problem
Support staff at a nonprofit change often. A volunteer shows up for an event season, a student helps for a term, a board member covers a week. Per-seat pricing turns each of them into a line item: add them, pay, remove them, remember to remove them.
The three pricing shapes in this post behave differently:
- Help Scout bills each user, including the owner. Five volunteers is five seats.
- HubSpot bills per seat, with view-only seats at no cost.
- Crisp and Talvo bill per workspace within a seat cap. Crisp's caps are 4 seats on Mini and 10 on Essentials. Talvo's are 5 on Starter and 15 on Growth.
A shared login is a bad answer to this. It erases who said what and makes it impossible to hand a thread to the right person. Talvo has owner, admin, agent and viewer roles on every plan, and a shared inbox where conversations can be assigned to a person (shared inbox for small teams covers the habits).

What nonprofits actually use support for
Help desk roundups assume a ticket queue. Many nonprofits have a different mix: donors asking about receipts and recurring gifts, volunteers asking where to be and when, people who use the service asking how to apply, and a stream of event questions that repeat every season.
Those lean on a good help center more than a ticket system. Write the answers once (donation receipts, how to volunteer, what to bring, eligibility, hours) and let people find them. A Talvo workspace can host those articles and let the AI agent answer from them with citations, then hand anything uncertain to your team. If you want the process, see build a help center.

The public feedback board also fits an engaged community: supporters can vote on ideas or suggest them without an account, and you can publish a changelog of what you've shipped. There are no comments.
Where Talvo isn't right for a nonprofit
- Free plan with live chat, email, shared inbox, help center and 2 teammates
- Per-workspace pricing: volunteer turnover up to the seat cap doesn't change the bill
- AI answers from your published articles, with citations, and hands off when unsure
- No nonprofit discount or program
- No donor-database integrations (Salesforce, HubSpot, Bloomerang and so on); integrations today are the REST API, webhooks and Slack
- Chat and email only: no WhatsApp, SMS, Instagram, Messenger or phone
- No SOC 2 report, HIPAA or SAML, and data is processed in the United States
- New and in beta; "Powered by Talvo" can't be removed
The compliance gap is the one to take seriously. If you handle protected health information, Talvo is not an option. Help Scout lists HIPAA as an add-on on its Plus plan and included on Pro, and not available on Standard, so check with them if that's your world.
Before you apply to any program
- Proof of status ready: a registration certificate, tax-exemption letter or 501(c)(3) determination
- Region: HubSpot's program covers North America, Australia and New Zealand only
- New-customer rule: HubSpot's discount is for new customers and net-new products, not existing subscriptions
- Annual contract: HubSpot requires one, and cancellation terms follow
- Stacking: Crisp (unless it confirms) and HubSpot don't combine their discounts with other programs; Help Scout's 10% does combine with the annual discount
- Tier: ask whether the discount covers the plan you need, not just the one in the headline
- Required fees: HubSpot Professional has a $1,500 onboarding fee; ask whether the discount touches it
- Deadlines: Zendesk's Impact Award window for 2026 has closed, though software donations are rolling
Start with the free plans, and add a discounted paid plan only when you can name the feature you're missing. If the team grows past two or three people, price the same headcount on two or three vendors with the support cost calculator, then apply the discounts. Customer support for startups covers the same budget constraints from a different angle.
Frequently asked questions
Does Zendesk offer free software to nonprofits?
Zendesk's Tech for Good program, run through the Zendesk Foundation, gives qualifying nonprofits free software, grants and pro bono support rather than a percentage discount. Its 2026 Impact Award application window closed on July 15, 2026, while software donations are accepted on a rolling basis. Zendesk publishes no standing nonprofit discount.
Does Help Scout have a nonprofit discount?
Yes. Help Scout gives nonprofits and B Corporations a 10% lifetime discount that can be combined with its annual-payment discount. Organizations whose core mission is human rights, environmental sustainability or underrepresentation in tech can apply for up to 100% off through Help Scout for Good. US organizations need proof of 501(c)(3) status.
What is the HubSpot nonprofit discount?
HubSpot for Nonprofits takes 40% off list prices. It applies only to net-new Professional or Enterprise products, not Starter, and requires a new customer, an annual term contract and a nonprofit registered in North America, Australia or New Zealand. It can't be applied to existing subscriptions or combined with other discounts.
Is there a free help desk for nonprofits?
Several free plans exist, with limits. Help Scout Free allows 5 users but 100 contacts a month, Crisp Free allows 2 seats without email or AI, Zoho Desk Free allows 3 users with email ticketing only, tawk.to is free with a branding badge, and Talvo's Free plan allows 2 teammates with 25 AI resolutions a month during the beta.
Does Freshdesk have a nonprofit discount?
Freshworks publishes no nonprofit program: its English nonprofit page returns a 404. A forum user reported a 5% discount, but that is anecdotal. Ask Freshworks sales directly.
Does Talvo have a nonprofit discount?
No. Talvo has no nonprofit program or discount. It has a Free plan with 2 teammates, a knowledge base and hosted help center, and 25 AI resolutions a month during the beta. Paid plans start at $49 a month ($39 billed annually) for 5 teammates, priced per workspace rather than per seat.
Can volunteers share one help desk login?
They can, but it is a poor idea: a shared login erases who said what and makes it hard to hand a conversation to the right person. Per-workspace pricing such as Talvo's or Crisp's, within each plan's seat cap, avoids paying for each volunteer. Help Scout and HubSpot bill per seat.
Is Zoho Desk free for nonprofits?
Zoho Desk says it has special pricing for nonprofits and educational institutions but publishes no percentage, so contact Zoho for terms. Separately, Zoho Desk has a Free plan with 3 users and email ticketing, without a public knowledge base.
